A cost and financing plan must be uploaded to the NRWKS funding portal, and a detailed budget must be uploaded for projects with a cost volume of more than 5,000 euros.

Applications without information on public relations work can only be accepted in individual cases with special justification - for example, if it is a concept funding or a school event.

If the public relations expenditure is less than 10% of the total costs, this should be justified in the project description. The project costs must be covered by the funding contributions.

The funding recipients are obliged to notify the NRWKS of any changes to the project content, the dates and locations of the events and the financial plan within the project period. The notification of changes must be made via the funding portal.

Changes that have not been notified and confirmed by the NRWKS before the end of the project may be grounds for (proportional) reclaiming of funding.

The grant is paid in two equal instalments. The first instalment will be paid within two weeks of the grant decision becoming effective, the second instalment halfway through the project's approval period.

If the project requires different payments, these must be applied for via the funding portal. For grants of more than 50,000 EUR within the framework of the New Music Theatre Fund, there are different regulations that can be found in the funding portal.

The funds must be used by the end of the grant period. You will be informed of the approval period in the notification of funding.

The proof of use provides the NRWKS with information on the progress and impact as well as the financial conclusion of the projects it has funded. It must be submitted to the NRWKS funding portal no later than three months after the end of the funding period and received by post with the signature of an authorised representative. In addition, PDFs of publications produced within the framework of the project must be uploaded to the funding portal and must bear the logos of the NRWKS and the Ministry of Culture and Science of the State of North Rhine-Westphalia.

In the case of funding of more than EUR 50,000, numerical proof is required by summarising the income and expenditure in accordance with the structure of the cost and financing plan, stating the date, recipient:in/payer:in as well as the purpose and individual amount of each payment.

If the submission is not made in time, the funding may be reclaimed.
